General Job Description

The Executive Assistant provides high-level administrative support for an executive team member of Family Health Centers of San Diego. As an Executive Assistant, you play a key role in ensuring FHCSD is exceptional in every way. Your superior organizational skill, attention to detail, and project management experience supports key initiatives using the delegated authority of the assigned executive. Your responsibilities are broad and changeable in nature, ranging from coordinating or leading special projects, corresponding with internal and external customers, through to meeting coordination. You work with highly confidential and sensitive information and work effectively with a diverse group of customers, patients, and visitors as well as internal contacts at all levels of the organization. You may also supervise or direct lower-level staff.

MINIMUM Education/Certifications/Licenses/Registrations/Experience

  • Bachelor's degree in Business Administration, Healthcare Administration, Political Science or related field required.
  • 3 - 5 years progressively responsible administrative support experience required, preferably in the medical/health-related field.
  • Ability and means to travel as needed in a timely manner within San Diego County, to locations that may have limited access to public transportation; proof of liability and property damage insurance on vehicle used is required.
  • DRIVER REQUIREMENTS: Licensed for a minimum of 3 years; No more than 2 violations and/or accidents within 3 years; No vehicle related suspensions/reinstatements; No DUI, reckless or felony Driving with 7 years*Or equivalent combination of education and experience that provides the skills, knowledge and ability to perform the essential job duties, and which meets any required state or federal certification requirements.

  • Ability to type 40 - 50 WPM; ability to accurately complete data entry at relatively high speed, utilizing grammar and spell check software.
  • Demonstrated ability to be culturally sensitive and respect diversity
  • Knowledge of supervisory practices and techniques, including performance management and employee development.
  • Strong analytical and problem solving skills.
  • Successful track record of leading and driving positive change through others.

Essential Job Functions

  • Acts as a liaison with other departments and internal and external customers (including patients, vendors, auditors and inspectors) on behalf of Executive. Handles confidential information and answers complex, department specific questions when necessary.
  • Provides data research, analysis, and reporting; creates routine and adhoc reports of significant complexity; formats reports and presents in an audience appropriate format.
  • Supports executive in all donation acceptance, processing and posting into fundraising database, produces donation acknowledgement letters and transfer of donations to accounting, and creates department wide accounting and quarterly financial report.
  • Responsible for ordering and tracking department supplies and promotional incentives; managing check requests and other accounting needs; scheduling and organizing department meetings and staff trainings; maintaining action lists and reminders; and providing administrative support to communication and patient engagement projects and tasks.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Works independently on special projects as assigned by the Executive, overseeing all aspects of project from planning, resource allocation, implementation, and analysis.
  • Ensures applicable regulatory and department standards are adhered to on an on-going basis (The Joint Commission, OSHA, etc.).
  • Leads, educates, coaches and mentors others on LEAN continuous process improvement philosophy, tools and application to accomplish organizational goals.
  • Performs other duties as assigned.

In the spirit of pay transparency, we are excited to share the base range for this position, exclusive of fringe benefits or potential bonuses.

64,480.00 - 85,973.33

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
